Job Description :

Greet clients and visitors as they walk into the office creating a welcoming and professional environment.

Observe visitors to ensure the premise is safe and secured. Visitors must identify themselves and state who they are visiting.

Maintaining the waiting area and other public areas of the premises.

Observing corporate etiquette and maintaining a professional appearance at all times.

Manage phone calls and correspondence (e-mail, letters, packages etc.)

Providing basic business support such as answering client questions.

Organizing conference room schedules and confirming appointments to avoid overlapping meetings or bookings.

Coordinate office activities and operations to secure efficiency and compliance to company policies

Supervise administrative staff and divide responsibilities to ensure performance

Manage agendas/travel arrangements/appointments etc. for the upper management

Support budgeting and bookkeeping procedures

Create and update records and databases with personnel, financial and other data

Track stocks of office supplies and place orders when necessary

Submit timely reports and prepare presentations/proposals as assigned

Oversees building and grounds maintenance.

Ensures security and emergency preparedness procedures are implemented properly.

Ensures that the facility is clean and maintained according to company policy and procedures.

Check the premises and security systems regularly, ensuring all windows and doors are locked after office hours.

Manages and reviews vendor service contracts.

Oversees and supervises the quality of work by vendors and contractors to ensure that all tasks are performed correctly, efficiently, and effectively.

Assist colleagues whenever necessary.

Doing all acts reasonably necessary for, and incidental to the smooth operation of the office and the successful management of clients.

 


Qualification: Bachelors Degree Similar role experience
